INTERPRETATION CONTRACT TERMS AND CONDITIONS

These terms apply to all LanguageSpeak equipment rental and interpretation contracts unless otherwise agreed in writing.

1. Prices and Payment terms

Quoted prices exclude taxes for equipment rental. Quoted fees are valid for 30 days and may vary ±10%. Interpreter/technician overtime applies after 8 hours. Payment follows the schedule on the quote and is due before event commences, unless otherwise agreed. Payments made via credit card will incur a 3.5% processing fee. Late payments accrue 2% monthly interest.

Client is liable for collection costs, attorney fees, and lawful interest in case of default. A 3.5% surcharge applies to credit card payments.

2. Cancellation Fees

Cancellation fees are based on days from set‐up or staff arrival as follows: 25% (45–30 days before event), 50% (29–15 days before event), 100% (14 days or less before event).

3. Installation and Security

Client must provide room access the day before the event. Equipment stays in place for the conference. Client is responsible for equipment security from delivery until removal and covers facility patching/union fees unless otherwise agreed. Lost, stolen, or damaged equipment must be replaced or insured by Client.

4. Interpretation Equipment Use

Speakers must use microphones; sound quality affects interpretation. If LanguageSpeak does not supply mics/PA, we are not responsible for sound issues. Client manages receiver distribution/collection unless specified. Lost receivers: $200 each; lost headsets: $25 each.

5. Indemnity

Client indemnifies LanguageSpeak against claims or expenses unless caused solely by
LanguageSpeak’s negligence.

6. Force Majeure

LanguageSpeak is not liable for delays or failures due to events beyond its control (e.g., strikes, natural disasters, government orders, equipment failure).

7. Warranty

Equipment will match the quotation and meet normal performance standards. No other warranties apply. Only authorized LanguageSpeak staff may make representations.

8. Governing Law

This agreement is governed by Florida law. Parties submit to the jurisdiction of Miami‐Dade County courts.

By clicking “Review and Approve” and selecting “ACCEPT” Estimate in QuickBooks, the client acknowledges and agrees to the terms and conditions stated in this estimate. This digital approval will serve as authorization for LanguageSpeak, Inc. to proceed with the services described.
